Vincere
Vincere runs your pipeline. We take the admin out of it.
We connect Vincere to the rest of your stack and automate the repetitive steps between stages, so the pipeline moves without someone pushing it along by hand.
The situation
The pipeline is only accurate when someone maintains it.
Stage changes, formatted CVs, follow-up emails and the numbers for the Monday meeting all depend on consultants remembering. The moment a desk gets busy, the data drifts.
- Candidates sit in a stage long after the real-world step happened
- CVs get reformatted to the client template by hand, every time
- Follow-ups depend on whoever remembers to send them
- Month-end reporting is assembled manually from exports
What we build
Automation built around Vincere.
Branded CV formatting
Candidate CVs converted into your client-facing template automatically, keeping the layout consistent without anyone rebuilding a document.
Pipeline stage automation
Stage changes triggered by what actually happens, like an interview booked or a submission sent, rather than by someone remembering to drag a card.
Follow-up sequences
Candidate and client follow-ups that fire on your rules and stop the moment a human replies, logged back to the Vincere record.
Live reporting
Placement, pipeline and consultant activity figures pulled on a schedule into a dashboard your team can open instead of rebuilding.
Connected to
What we connect Vincere to.
The systems either side of the CRM, so the record stays true without anyone maintaining it by hand.
Telephony & VoIP
- 8x8
- Microsoft Teams
- and other VoIP providers
Calls logged against the candidate record as they happen, rather than written up afterwards from memory, or not at all. Click-to-dial from the record, and recordings attached where you keep them.
- Gmail
- Outlook
Conversations attached to the right candidate and job automatically, without relying on anyone remembering to BCC the CRM. Bounces and invalid addresses get caught rather than quietly rotting in the database.
Job boards & sourcing
- CV-Library
- Reed
- Seek
One job posted to every board you use, with applications flowing back against the right record instead of into an inbox. Candidate profiles enriched from the sources you already pay for.
Portals
- Timesheet portals
- QuickBooks
- WordPress
- Shopify
Hours from your timesheet portals through to invoicing without anyone re-keying them, even when two vendors use different formats and different billing models. Applications from your own site landing against the right job rather than in an inbox. Finance sees the same numbers the desk does.
Running something not listed here? See everything we connect . If it has an API we can work with it, and if it does not, it usually still has a database.
Process
Four stages. No surprises.
You see a working prototype before money changes hands, and a demo at the end of every stage after that.
- 01
Discovery
We map how the work happens today, find the steps that cost you the most time, and agree what success looks like.
- 02
Free Prototype
You get an interactive prototype on your own device before any invoice, so you can judge the real thing, not a slide deck.
- 03
Build & Demo
We design, build and test in stages, demoing at the end of each one and folding your feedback straight back into the work.
- 04
Launch & Support
QA, deployment with minimal disruption, then ongoing support and maintenance as the business changes around it.
FAQ
Questions we get asked about Vincere.
Does this work with Vincere's own automation features?
Yes. We build around what Vincere already does rather than replacing it, and we will tell you when a native feature covers your need better than anything we would build.
Can you match our client CV templates exactly?
Yes. Formatting is built to your templates, including multiple templates for different clients. This is usually the fastest win we ship, because it removes a task done many times a day.
How long does a Vincere integration take?
You see a working prototype before committing. A focused first automation is typically live in weeks rather than months, because we scope to one painful workflow and ship it.
Who owns the integration once it is built?
You do: the code, the documentation and the credentials. We build to be inspectable so another developer could pick it up, because being difficult to leave is not a business model we are interested in.
What happens when Vincere releases an update?
We track the API and fix breakages as part of the ongoing arrangement. Platform updates are the main reason integrations quietly stop working, and the failure is usually silent, so monitoring matters more than the initial build.
Can you work alongside our existing developer or partner?
Yes, and often that is the sensible arrangement: we take the integration work and they keep what they already know. We will say plainly when something is better handled by whoever is already close to it.
