Bullhorn
Your consultants should be placing, not updating Bullhorn.
We build automation on top of Bullhorn's REST API so the record-keeping your team does by hand happens on its own, accurately and with an audit trail.
The situation
Bullhorn holds everything. Keeping it true costs you hours.
Bullhorn is only as useful as the data consultants remember to put in it. In most agencies that means a slow tax on every desk, and a database nobody fully trusts by the end of the quarter.
- The same candidate exists three times under slightly different emails
- Notes and activity get logged days late, or not at all
- Reporting means exporting to a spreadsheet and fixing it by hand
- Candidates go cold because nobody had time to follow up
What we build
Automation built around Bullhorn.
CV parsing and enrichment
Inbound CVs are parsed, matched against existing records and written into the right fields, with missing details enriched from public sources rather than left blank.
Duplicate detection and merge
Records are matched on more than an exact email, surfaced for review, and merged on your rules so history is preserved rather than overwritten.
Automatic activity logging
Calls, emails and submissions are written to the candidate and job records as they happen, so the timeline reflects what actually took place.
Reporting that builds itself
Pipeline, submission and placement figures pulled on a schedule into a live dashboard, so nobody rebuilds the same spreadsheet every Monday.
Connected to
What we connect Bullhorn to.
The systems either side of the CRM, so the record stays true without anyone maintaining it by hand.
Telephony & VoIP
- 8x8
- Microsoft Teams
- and other VoIP providers
Calls logged against the candidate record as they happen, rather than written up afterwards from memory, or not at all. Click-to-dial from the record, and recordings attached where you keep them.
- Gmail
- Outlook
Conversations attached to the right candidate and job automatically, without relying on anyone remembering to BCC the CRM. Bounces and invalid addresses get caught rather than quietly rotting in the database.
Job boards & sourcing
- CV-Library
- Reed
- Seek
One job posted to every board you use, with applications flowing back against the right record instead of into an inbox. Candidate profiles enriched from the sources you already pay for.
Portals
- Timesheet portals
- QuickBooks
- WordPress
- Shopify
Hours from your timesheet portals through to invoicing without anyone re-keying them, even when two vendors use different formats and different billing models. Applications from your own site landing against the right job rather than in an inbox. Finance sees the same numbers the desk does.
Running something not listed here? See everything we connect . If it has an API we can work with it, and if it does not, it usually still has a database.
Process
Four stages. No surprises.
You see a working prototype before money changes hands, and a demo at the end of every stage after that.
- 01
Discovery
We map how the work happens today, find the steps that cost you the most time, and agree what success looks like.
- 02
Free Prototype
You get an interactive prototype on your own device before any invoice, so you can judge the real thing, not a slide deck.
- 03
Build & Demo
We design, build and test in stages, demoing at the end of each one and folding your feedback straight back into the work.
- 04
Launch & Support
QA, deployment with minimal disruption, then ongoing support and maintenance as the business changes around it.
FAQ
Questions we get asked about Bullhorn.
Do you need full admin access to our Bullhorn?
We work through Bullhorn's REST API using credentials scoped to what the automation actually needs. Access is yours to grant and revoke, and we document exactly what each integration reads and writes.
Will this conflict with Bullhorn Automation?
No. We build around what you already run, filling the gaps it does not cover rather than duplicating it. If an existing tool already does something well, we leave it alone and say so.
What if we move off Bullhorn later?
The automation logic sits outside Bullhorn rather than inside it, so the parts that are not Bullhorn-specific carry over instead of being rebuilt from scratch. Only the integration layer has to be replaced.
How long before something is live?
You see a working prototype before committing anything. A first focused automation is usually live in weeks rather than months, because we scope it to one painful workflow and ship that rather than attempting the whole desk at once.
What happens when Bullhorn changes their API?
Integrations break when the platform on the other end moves, so maintenance is part of the arrangement rather than an afterthought. We monitor for failures and fix them. Ask anyone quoting you a build cost what happens in month six, because the answer tells you a lot.
Will this slow Bullhorn down for our consultants?
It should not. Work runs against API rate limits deliberately, batched and throttled so the automation never competes with the people using the system. If a job is heavy, it runs when the desk is quiet.
